# Back-to-School Checklist for Parents: Before, During and After Week One

> A back-to-school checklist for parents in three stages: what to sort before term starts, how to handle week-one paperwork, and what to set up for the year.

The first week back at school brings uniforms, forms, a new timetable and about forty emails.

Most of it needs doing once. Some of it needs doing every week until next summer.

This checklist is split into three parts: the two weeks before school starts, the first week, and the routines that carry you through the year. Tick off what applies to your family and skip the rest.

## Two weeks before school starts

### Clothes and kit

- **Try on last year's uniform and shoes.** Kids grow over the summer. Find out now, not the night before.
- **Label everything.** Sweaters, coats, water bottles, lunch boxes. Lost property is full of unlabelled items.
- **Check the supply list** from the school and buy what's missing. Shops sell out of the common items in the last week.
- **Sort sports kit and any instruments** your child needs on set days.

### Paperwork and money

- **Find the term dates** and add them to your calendar, including inset days, half terms and early finishes.
- **Check what fees are due** and when: tuition, trips, lunches, after-school clubs. Note each due date.
- **Update contact details and medical information** with the school if anything changed.
- **Renew bus passes** or set up the school run with other parents.

### Health appointments

- **Book any check-ups** your child needs before term, like the dentist or an eye test. Appointments fill up in late summer.
- **Check vaccination records** if the school asks for them.

### Rhythm

- **Shift bedtime earlier** by 15 minutes every few days in the last week or two. It's much easier than doing it all on the first night.
- **Try a practice morning** to time how long getting out the door takes.

## The first week

The first week is when the paperwork arrives. Letters, permission slips, club sign-ups, homework platform logins and a calendar of events all land at once.

### Capture everything as it arrives

The biggest risk in week one is a form that goes into a school bag and never comes out. Set one rule: every piece of paper and every email that needs action gets captured the day it arrives.

For each item, note:

- What it is
- What action it needs (sign, pay, reply, buy)
- The deadline

Then put the paper in one place, like a tray by the door. Everything in the tray has a reminder. Everything with a reminder can leave your head. If screenshots are how you save things, [turning screenshots into a to-do list](/blog/screenshots-to-do-list) shows a simple way to keep them from piling up.

### Get the new timetable down

- Which days are PE days?
- Which days have clubs or activities, and when do they finish?
- When is homework due, and on which platform?
- Who's doing pickup on each day?

Write the weekly pattern down once, and set up repeating reminders for anything that changes the morning routine, like a PE kit day or a library day.

### Meet the teacher, even briefly

If the school holds a welcome evening, go. Ask how the teacher prefers parents to get in touch and how homework works. It saves confusion later.

## Setting up for the whole year

### Permission slips and forms

These keep coming all year, and they always have a short deadline. Set a reminder the evening you receive one, at a time you'll be home with a pen:

- Read and sign
- Add any money that's needed
- Put it back in the school bag

The [permission slip reminder](/reminders/permission-slip) page has examples, including setting one up from a photo of the form.

### School fees and payments

If you pay fees by term or by month, set the reminders once for the whole year. A heads-up a few days before each due date gives you time to move money. Lunch accounts and trip payments often run on their own schedule, so give them their own reminders. See the [school fees reminder](/reminders/school-fees) page for patterns that work, and [how to never miss a bill](/blog/never-miss-a-bill) for the bigger household picture.

### Parent-teacher conferences

These usually happen once or twice a year, and the booking window can be short. Two things help:

1. **A reminder when booking opens,** so you get a time that works.
2. **A running list of questions** you add to in the weeks before, so you don't walk in and forget the one thing you meant to ask.

The [parent-teacher conference reminder](/reminders/parent-teacher-conference) page covers both.

### A weekly school check

Ten minutes on Sunday evening covers most of it:

- Check the school emails and app for anything new.
- Look at next week's activities and kit days.
- Empty the school bag tray and set reminders for anything in it.
- Check the lunch account balance.

## Doing this with Mindie

Mindie works inside WhatsApp. You text it a reminder in plain words, or send a photo of a letter or a screenshot of a school email, and it sets the reminder for you.

For a permission slip:

"Remind me tonight at 8pm to sign Ben's museum trip slip and put the trip money in the envelope, due Friday"

For fees every term:

"Remind me 5 days before each term's fees are due: 1 September, 5 January and 20 April"

For a weekly kit day:

"Every Tuesday at 7:30am remind me Mia needs her swim bag"

For conference questions:

"Add to my parent-teacher list: ask about Jake's reading level, ask about the maths homework load"

Ask "what's on my parent-teacher list?" the night before. If your family calendar is in Google Calendar or Outlook, Mindie can add school events there too. The [Mindie for busy parents](/for/busy-parents) page has more examples.

## Reminders worth setting

- [School fees reminder](/reminders/school-fees): a heads-up before each fee is due, set once for the year.
- [Permission slip reminder](/reminders/permission-slip): sign it, add money and send it back before the deadline.
- [Parent-teacher conference reminder](/reminders/parent-teacher-conference): book a slot and walk in with your questions ready.
- [Child vaccination reminder](/reminders/child-vaccination): due dates from the vaccination card, with time to book.

## FAQ

### What should be on a back-to-school checklist?

Uniform and shoes that fit, labelled kit, the school supply list, term dates in your calendar, fee due dates, updated contact and medical details, and an earlier bedtime in the week before. In the first week, add a system for capturing forms and the new weekly timetable.

### How do I keep track of school paperwork?

Capture every form the day it arrives with what it needs and the deadline, keep the paper in one tray, and set a reminder for each item. A ten-minute check every Sunday catches anything that slipped.

### When should kids start going to bed earlier before school?

About one to two weeks before term starts. Moving bedtime 15 minutes earlier every few days is easier than a sudden change on the first night.
