# How to Track Renewal Dates: Passports, Insurance and More

> Passports, licences, insurance, domains and subscriptions all renew on different dates. Here's how to keep them in one place with heads-ups that come in time.

You find out your passport expired when you go to book a holiday. Your car insurance renewed at a higher price because you missed the email. Your website went down because the domain lapsed.

Renewals are easy to forget because they happen once every few years, or once a year at best. By the time one comes round, you've forgotten it exists.

Here's a simple way to keep every renewal date in one place, with a heads-up early enough to act.

## Why renewals catch people out

Most renewals have three things in common:

- **They're rare.** Once a year, or once every five or ten years. There's no habit to build.
- **The reminder is in someone else's hands.** The insurer, the passport office or the domain registrar decides when to tell you, if at all.
- **Acting takes time.** Passports can take weeks to process. Comparing insurance quotes takes an afternoon. A same-day reminder is useless.

So the fix is to own the reminders yourself, and to set them early.

## Step 1: List everything that renews

Go through each area of your life and write down anything with an expiry or renewal date.

### Documents and licences

- Passport (yours and your kids')
- Driving licence and photocard
- Visas and residence permits
- Professional licences and certifications
- National ID cards

### Insurance

- Car insurance
- Home or contents insurance
- Life insurance
- Health or travel insurance
- Pet insurance

### Vehicles

- Registration or road tax
- Safety inspection or MOT
- Servicing

### Home

- Lease or tenancy
- Boiler or HVAC service
- Smoke detector batteries
- Warranties on appliances

### Online

- Domain names
- Website hosting
- SSL certificates
- Annual software plans
- Cloud storage

### Subscriptions and memberships

- Gym, clubs and associations
- Streaming and news
- Professional memberships
- Free trials that will turn paid

For each one, write down the expiry date and how much notice you need to act.

## Step 2: Work out how much notice each one needs

The right heads-up depends on what you have to do before the date.

| Renewal | Suggested heads-up | Why |
|---|---|---|
| Passport | 3-6 months | Processing times vary, and some countries require months of validity left |
| Visa or residence permit | 2-3 months | Paperwork and appointments |
| Driving licence | 1-2 months | Forms and photos |
| Car and home insurance | 3-4 weeks | Time to compare quotes |
| Domain and hosting | 2-4 weeks | Time to check auto-renew and payment card |
| Annual subscriptions | 1-2 weeks | Time to decide if you still want it |
| Free trials | 1-2 days | Before the first charge |

These are starting points, not rules. Check the official guidance for documents in your country, as processing times change.

## Step 3: Use two reminders, not one

A single reminder is easy to dismiss. "I'll deal with that later" turns into the deadline passing. Two reminders work better:

1. **An early heads-up,** when you still have plenty of time to act.
2. **A closer nudge,** in case the first one got pushed aside.

For a passport, that might be six months before and then two months before. For car insurance, a month before and then a week before.

With Mindie, you set each one in a message on WhatsApp:

"Remind me on 14 February 2027 at 9am to start renewing my passport, it expires on 14 August"

For yearly renewals, set it once and it repeats:

"Every year on 1 May remind me the car insurance renews on 28 May, get quotes"

Reply "done" when it's sorted, or snooze it if you need a few days. The [passport renewal](/reminders/passport-renewal), [car insurance renewal](/reminders/car-insurance-renewal) and [domain renewal](/reminders/domain-renewal) pages show more examples.

## Step 4: Keep the details next to the date

When the reminder arrives, you want the information to act on it right there. Otherwise you're digging through emails to find a policy number.

For each renewal, keep a short note with:

- Policy or account number
- Provider name and how to contact them
- What you paid last time
- The login email you used
- Anything you meant to change ("ask about multi-car discount")

You can keep these as notes in Mindie and ask for them when the reminder comes in, so the date and the details live in the same chat. A photo of a document works too: send a picture of your insurance certificate and Mindie can turn the expiry date into a reminder.

## Step 5: Review auto-renewals once a year

Auto-renew is convenient, but it's also where prices quietly creep up. Insurers often offer better rates to new customers than to people who renew automatically.

Once a year, go through everything that auto-renews and ask:

- Do I still need this?
- Is the price the same as last year?
- Is the payment card on file still valid?
- Could I get the same thing cheaper elsewhere?

A good time is during your monthly money check, or at the start of the year. If you want a system for the money side, see [how to never miss a bill](/blog/never-miss-a-bill). For subscriptions specifically, read [how to stop paying for subscriptions you meant to cancel](/blog/free-trials-and-subscriptions).

## Special cases worth knowing

### Kids' passports

Children's passports often have a shorter validity than adults'. They're easy to forget because they're tucked in a drawer with everyone else's. Give each child their own reminder.

### Domains and SSL certificates

If you run a website or a small business, a lapsed domain can take your site and email offline. Check that auto-renew is on and that the card on file hasn't expired. A reminder a few weeks ahead is cheap insurance. The [freelancers](/for/freelancers) page covers other business dates worth tracking.

### Warranties

Warranties don't renew, but they expire. A reminder a month before an appliance warranty ends gives you a chance to report a fault while it's still covered.

## A quick checklist

- List every document, policy, plan and membership that renews.
- Note the expiry date and how much notice you need.
- Set two reminders: an early heads-up and a closer nudge.
- Keep the policy number and details with the reminder.
- Review auto-renewals once a year.

It takes an hour to set up. After that, renewals stop being surprises.

## Reminders worth setting

- [Driver's license renewal reminder](/reminders/drivers-license-renewal): A heads-up well before the expiry date, and another on the day, so you're never driving on an expired license.
- [Car registration reminder](/reminders/car-registration): A heads-up before your registration is due every year, with time for any inspection first.
- [License renewal reminder](/reminders/license-renewal): An early heads-up before your professional license expires, plus a reminder on the deadline itself.
- [Visa renewal reminder](/reminders/visa-renewal): An early heads-up before your visa expires, and a reminder for each step in between.
- [Insurance premium reminder](/reminders/insurance-premium): A reminder well before renewal, so health, life and motor cover never lapse by accident.
- [Lease renewal reminder](/reminders/lease-renewal): A reminder before the notice deadline, not the lease end, so the decision is still yours to make.
- [SSL certificate reminder](/reminders/ssl-certificate): An early heads-up before an SSL certificate expires, so your site never shows a browser warning.

## FAQ

### How early should I renew my passport?

Many people start three to six months before expiry, since processing times vary and some countries require several months of validity left on entry. Check your government's official guidance before you travel.

### Can I set reminders for dates years away?

Yes. Mindie handles one-off reminders for any future date, and yearly reminders that repeat. For a passport that expires in 2030, set it once and it will arrive when you asked.

### Will Mindie renew things for me?

No. Mindie reminds you and keeps your notes. It doesn't make payments, fill forms or contact providers. You do the renewal, then reply "done".
