How Insurance Agents Track Renewals (and Keep Clients at Renewal Time)

A client calls to say they've moved their car insurance elsewhere. The new quote was cheaper, and nobody from your office had been in touch.

You would have matched it, or explained why their cover was worth more. You just didn't know the renewal was close.

Renewals are the quiet centre of an insurance book. Here's how to track them so each one starts with a conversation instead of a surprise.

Why renewals slip

Your agency system knows every renewal date. The trouble is the gap between the system knowing and you acting:

  • Renewal reports are long. A list of 80 renewals next month is easy to skim and hard to act on.
  • The carrier sends the notice. Clients see a renewal letter with a higher premium before they hear from you.
  • Life changes aren't in the system. A new teenage driver, a home extension, a new business. You only find out if you ask.
  • Busy weeks crowd out proactive calls. Claims and new quotes feel urgent. Renewals feel like they can wait, until they can't.

A renewal timeline

The exact gaps depend on the line of business and your carriers, but the shape stays the same.

90 days out: review the list

Once a month, pull every renewal that falls three months from now. Sort them into three groups:

  • Needs a conversation: large policies, clients with claims this year, anyone whose premium is likely to rise a lot, and commercial accounts.
  • Needs a light touch: stable personal lines with no changes expected.
  • Needs remarketing: policies where you already expect to shop the market.

Commercial and complex policies often need this early start, because gathering information and quotes takes weeks.

60 days out: start the conversation

Contact the "needs a conversation" group. A short call or message to book a renewal review works better than waiting for the carrier's figures.

For remarketing, request updated information from the client now, so quotes can go out with time to spare.

30 days out: present the renewal

By now you usually have the renewal terms. Share them with the client, explain any change in premium, and offer options where there are any: a higher excess, a bundled policy, a change in cover.

For light-touch clients, a short message confirming the renewal date and inviting questions is often enough.

7 days out: check the stragglers

Anyone who hasn't responded gets one more nudge. This is where clients who've quietly shopped elsewhere usually surface.

After renewal: confirm and note

Confirm the renewal went through, record anything the client mentioned, and set the next touchpoint.

The renewal review

A renewal review is a short conversation, ideally once a year per client, about what's changed. A simple checklist:

  • Home: renovations, extensions, a new pool, anyone working from home, anything valuable bought this year
  • Vehicles: new cars, new drivers, a change in commute or mileage
  • Family: marriage, a new baby, children leaving home, a parent moving in
  • Work: a new job, starting a business, retiring
  • Claims: anything this year, and whether the client was happy with how it went
  • Questions: anything they've been meaning to ask

Clients often don't think to tell their agent about changes. Asking once a year turns up gaps in cover and, often, extra policies.

Mid-term touchpoints

Renewal is a year apart. A couple of contacts in between make the renewal call feel natural rather than salesy:

  • Six months in: a short check-in, no pitch.
  • After any claim: a call a week or two after it's settled.
  • Seasonal reminders: a winter driving or storm-preparation message, if that fits your area.

Tracking your own renewals

Insurance agents also have renewals of their own: licences, continuing education hours, errors and omissions cover, and carrier appointments. These deserve the same early reminders you set for clients. For your personal policies, how to track renewal dates covers passports, insurance and the rest of the household.

Doing it with Mindie

Mindie is a reminder service in WhatsApp. It doesn't replace your agency system; it turns the renewals you need to act on into reminders that arrive when you have time to act.

Each month, send a screenshot of the next renewal list. Mindie reads the dates and sets the reminders after checking them with you. Or set them by message:

  • "Remind me on 3 February at 10am to call Sophie Clarke about her home policy renewing 1 April, she added an extension last year"
  • "Remind me before the Fieldstone Joinery commercial package renews on 1 May"

That second one sends an early heads-up and a reminder on the day. For the monthly review itself, set it once:

  • "On the 1st of every month at 9am remind me to pull renewals for three months out"

Keep review notes as you go:

  • "Note: Clarke family, son starts driving in June, ask about adding him at renewal"

Ask "what's happening with the Clarkes?" before the call and the note comes back. If you tend to put off the harder calls, turn on nag mode and Mindie keeps nudging until you reply "done".

Mindie only messages you. It doesn't remind your clients or quote policies. When it's time to contact a client, you can ask for a ready-to-send WhatsApp link with your message and send it yourself. See Mindie for insurance agents for more examples.

FAQ

How far in advance should an insurance agent contact clients about renewal?

For personal lines, 30 to 60 days before renewal is common. For commercial or complex policies, start 90 days or more ahead, because gathering information and remarketing takes longer.

How do insurance agents keep clients at renewal?

Contact them before the carrier's notice arrives, explain any premium change, offer options, and run a short yearly review of life changes. Clients who hear from their agent first tend to be less likely to shop around.

What should an insurance renewal review include?

Changes to home, vehicles, family and work, any claims in the past year, and open questions. The aim is to make sure cover still fits the client's life as it is now.
