Tracking Licences and CE Credits for Doctors and Nurses
Updated October 2026 · 5 min read · By Tamil Iniyan
Your manager emails: your BLS card expired last week, and you can't work clinical shifts until it's renewed.
The next class with space is in ten days.
Credentials don't expire at a convenient time. They expire on a date set two years ago, while you were busy with everything else. Here's how to keep all of them in one place with enough warning to act.
This post is about admin, not clinical practice. Your licensing board, employer and professional body set the actual requirements, so always check with them.
Step 1: Make a credential inventory
Start with one list of everything that expires. Most clinicians are surprised by how long it is.
Licences and registrations
- State or national licence or registration
- Any additional state licences or compact licences
- Prescribing or controlled substance registration, where it applies
- Hospital credentialing and privileges, which often renew on their own cycle
Certifications
- BLS
- ACLS, PALS or NRP, depending on your area
- Specialty certifications and board certification
- Any procedure-specific sign-offs your employer requires
Continuing education
- CE, CME or CPD hours required per cycle
- Any mandatory topics within those hours
- The reporting deadline, which isn't always the same as the licence date
Work requirements
- Annual mandatory training modules
- Immunisation records and any annual tests your employer asks for
- Fit testing, if required
- Professional indemnity or malpractice cover
For each item, write down:
- Expiry or due date
- How long renewal takes (a form you can submit online in ten minutes, or a two-day course)
- Where the proof is stored
Step 2: Set the warning time by how long renewal takes
A single reminder on the expiry date is useless. The right warning depends on what renewal involves:
- Online form and fee: four to six weeks ahead.
- A class you need to book, like BLS or ACLS: eight to twelve weeks ahead, because classes fill up.
- CE hours you still need to complete: start several months ahead, so you aren't cramming 20 hours into the last fortnight.
- Board certification or a licence in a new state: many months ahead, because paperwork and verification take time.
Then add a second reminder a couple of weeks before expiry, just in case the first was snoozed and forgotten.
Step 3: Track CE hours as you go
The hardest part of continuing education is usually knowing, at any moment, how many hours you've done and how many you still need.
A simple approach:
- Write down the total you need and the deadline.
- Log each course the day you finish it, with the hours and the date.
- Save the certificate straight away, as a photo or PDF, somewhere you can find it.
- Check progress once a quarter. If you're behind, book something now.
Spreading hours over the cycle is easier than it sounds. Twenty hours across two years is under an hour a month.
Step 4: Keep proof in one place
When an employer, board or credentialing office asks for evidence, you want to send it in minutes, not spend an evening digging through emails. Keep one folder, physical or digital, with:
- Current licence and registration documents
- Every certification card, front and back
- CE certificates for the current cycle
- Immunisation and training records
Take a photo of each new card the day you get it.
Fitting renewals around shifts
Shift work makes all of this harder. Renewal offices keep office hours, classes run on fixed days, and your rota changes every week.
- Look at your next rota before booking a class, and book it as soon as the rota is out.
- Set reminders for your days off, not mid-shift, for tasks like submitting forms.
- Do short CE modules in small pieces on quiet nights or breaks, if your employer allows it.
- Swap shifts early if a renewal class clashes, rather than hoping it'll work out.
If renewals are one of many dates you're trying to hold in your head, how to track renewal dates covers the same approach for passports, insurance and household admin.
Doing it with Mindie
Mindie is a reminder service in WhatsApp, so you can set a renewal in ten seconds on a break, by text or voice note:
- "Remind me before my nursing licence renewal is due on 31 March 2027"
- "Every 2 years on 1 February at 9am remind me to book my BLS renewal class"
- "Remind me on my next day off, Thursday at 10am, to submit the controlled substance registration form"
The first one gives you an early heads-up and a reminder on the day. For CE hours, set a goal and send updates as you go:
- "New goal: complete 30 CE hours by 30 June 2027"
- "Did 2 CE hours today, wound care module"
Ask for your progress any time. Send a photo of each new certificate or card and Mindie saves it as a note, so you can ask for it when credentialing calls.
If you can't trust yourself to book that class, turn on nag mode and Mindie keeps nudging until you reply "done". Shift workers can also send a screenshot of the rota and Mindie sets reminders after checking the dates with you.
Mindie is for your own admin. Keep patient information out of it, and keep your official records with your board and employer. Mindie doesn't know your board's requirements; it tracks what you tell it. There's more on the Mindie for doctors and Mindie for nurses pages.
Reminders worth setting
- CPR certification reminder: An early heads-up before your BLS or CPR card expires, with time to book a class.
- Continuing education reminder: Steady reminders and a goal that tracks your CE hours.
- License renewal reminder: A reminder before your licence or registration renews.
- Flu shot reminder: A yearly nudge before your employer's vaccination deadline.
- Night shift reminder: Reminders to sleep and eat around night shifts.
FAQ
How many CE hours do nurses need?
It varies by state, country and licence type. Some boards require a set number of hours every one or two years, some require specific topics, and a few have other rules. Check your licensing board's current requirements.
How often do you need to renew BLS certification?
BLS cards are commonly valid for two years, but check the expiry date on your card and any extra rules from your employer. Book the renewal class eight to twelve weeks before it expires, because classes fill up.
What happens if your medical or nursing licence expires?
In most places you can't practise until it's renewed or reinstated, and reinstatement can involve extra forms, fees or delays. Contact your licensing board straight away if it happens, and set an early reminder so it doesn't happen again.
