WhatsApp Tips and Tricks for Staying Organised

You open WhatsApp to reply to one person. Twenty minutes later you've read three group chats, watched a video and forgotten who you came to reply to.

WhatsApp is where a lot of life gets arranged now. It just isn't arranged by default.

These are the settings and habits that make it easier to find what matters, reply on time and stop things slipping.

Sort your chats into lists

WhatsApp has filters at the top of the Chats tab. Per its help center, the default lists are All, Unread, Favourites and Groups. You can also create your own lists with custom categories, like family, work or your neighbourhood, and add both groups and one-to-one chats to them.

To make one, tap the + in the filter bar at the top of the Chats tab. To change a list later, press and hold it.

Lists worth making

  • Family. Parents, partner, siblings and the family group.
  • Work. Colleagues, clients and the team chats you need in hours.
  • Kids' activities. School, clubs, other parents.
  • Admin. The landlord, the builder, the garage, anyone you're waiting on.

The point isn't neat categories. It's being able to open one list and see only the chats you need right now, without the noise of everything else.

Use Favourites for the people you can't miss

Favourites shows chats from contacts you've marked as favourites. You can manage them from Settings or from the Chats tab and reorder them whenever you like.

Keep it short. Five or six people you always want to reply to quickly. If everyone is a favourite, the list stops helping.

Mark as unread when you can't reply yet

WhatsApp lets you mark a chat as unread. This is one of the most useful small habits there is.

When a message needs a proper reply and you don't have time, mark it unread. The Unread filter then becomes a simple to-do list of conversations you still owe someone. Clear it once or twice a day.

It works best with one rule: only mark something unread if you'll reply within a day. Anything longer needs a reminder with a time on it, or it will sit there for weeks.

Quieten busy groups without leaving them

Leaving the school group isn't an option. Getting a notification for every message isn't either.

WhatsApp's notification settings for groups include a "Notify for" option. Choose "Highlights" and you're only notified for things like @mentions and replies to you. You still see everything when you open the group, but your phone stays quiet.

Pair this with a group list, and you can check the groups at a time that suits you rather than every time someone posts a photo.

Fix a message instead of sending a correction

You can edit a message you've sent for up to 15 minutes afterwards. Long-press the message and choose Edit. It's handy when you've typed the wrong time or date, which is exactly the kind of mistake that causes missed plans.

Pin what you open every day

You can pin chats to the top of your chat list. Most people pin their partner, their most active work chat, and their own "Message yourself" chat if they use it for notes.

WhatsApp also lets you pin individual messages within a chat, which is useful in groups for things like the address, the rota or the payment details. If you use the self-chat a lot, message yourself on WhatsApp has tips for keeping it from turning into a junk drawer.

Habits that keep things from slipping

Settings help you find things. Habits are what stop things getting lost in the first place.

Reply or record

When a message asks you for something, either reply now or record it somewhere with a time. "I'll check and let you know" is a promise, and promises made in a chat are easy to forget.

Turn plans into dates straight away

"Let's do dinner next week" is not a plan until it has a day. Suggest one in the same conversation, then put it in your calendar before you close the chat.

Don't use chats as storage

Addresses, tracking numbers, gift ideas and wifi passwords all end up scattered across chats. Months later, you remember someone sent it but not who. Save anything you'll need again in one place you can search.

Keep lists out of the chat stream

A shopping list posted in a chat is just a message. You can't tick items off or add to it without writing a new one. If you keep lists in WhatsApp, use something that saves them as lists. The grocery list post covers one way to do it.

Doing it with Mindie

Mindie is a WhatsApp contact for your own reminders, notes and lists. It fills the gaps the settings above leave open: things that need a time attached, and things you need to find again.

For promises made in chats:

  • "Remind me at 6pm to reply to Ben about the van"
  • "Remind me tomorrow at 9 to send the landlord the meter reading"

For things you'd otherwise lose in a thread:

  • "Note: Tom's new address is 14 Elm Road, flat 2"
  • "What's Tom's address?"

For lists that stay lists:

  • "Packing list: passport, charger, sunglasses, adapter"
  • "Add swimming goggles to the packing list"
  • "Show my packing list"

Mindie saves each list under its name so you can add, remove and ask for it any time. More on that in WhatsApp lists. When a reminder arrives, reply done, or "snooze 1 hour" if you're not ready. It only ever messages you, never your contacts or groups.

A five-minute tidy-up

If your WhatsApp feels out of control right now, do this once:

  1. Create two or three custom lists for the areas of life that matter most.
  2. Mark five favourites.
  3. Set your busiest groups to notify for Highlights only.
  4. Pin the two or three chats you open every day.
  5. Go through Unread and either reply, or set a reminder for each one.

That's usually enough to make the app feel manageable again.
