Meeting Reminders on WhatsApp: Never Miss a Call or Catch-Up
Updated October 2026 · 5 min read · By Tamil Iniyan
"Can we do Thursday at 2?" "Perfect, see you then."
That's the whole booking. No invite, no calendar entry, just two messages in a chat that's already scrolled away.
Thursday at 2:10 you get a message: "Are you on your way?"
Why meetings agreed in chat get missed
More meetings than ever get arranged in WhatsApp: a coffee with a client, a viewing with an estate agent, a parents' evening slot, a call with the accountant. The arrangement happens quickly, in a conversation, and that's exactly why it slips.
- There's no invite. Nothing lands in your calendar unless you put it there.
- The time is buried. To check it, you have to find the chat and scroll.
- The alert, if there is one, comes at the start time. Not when you need to leave, not when you need to prepare.
- The details are scattered. The address is in one message, the agenda in another and the call link in a third.
What WhatsApp itself can do
For some meetings, WhatsApp's own tools are enough.
Scheduled calls
WhatsApp lets you schedule a call from the Calls tab and invite people or groups in advance. All participants get a notification when the call is about to begin. If your meeting is a WhatsApp call, scheduling it means everyone is nudged at the right moment.
Events in chats
You can create an event in a group or a one-to-one chat with a name, date, time and optionally a location or a WhatsApp call link. People who answer going or maybe are notified when it starts. In groups, you can also set custom early reminders for invitees.
Where they stop
Both are tied to the chat they were made in. A scheduled call doesn't help with an in-person meeting across town, and an event in one chat doesn't sit next to your other plans. Neither adds the meeting to your work calendar, and neither knows that you need 25 minutes to get there.
The three reminders a meeting needs
Most missed meetings aren't forgotten completely. They're remembered too late. A good setup uses up to three reminders, depending on the meeting.
1. The prep reminder
For anything where you need to bring documents, read something, or think about what to say, set a reminder the day before or that morning.
- "Prep for the 2pm with Emma: bring the signed lease and the deposit receipt"
2. The leave reminder
For in-person meetings, the reminder should come when you need to leave, not at the meeting time. Work out travel time plus ten minutes, and set it for then.
- "Leave now for the viewing at 14 Park Lane, 25 minutes by car"
3. The join reminder
For video calls, 10 to 15 minutes before is usually enough to find the link, test your sound and close other tabs. Put the link in the reminder so you don't have to hunt for it.
There's a short guide to timings on the meeting reminder page.
Put it in the calendar too
A reminder makes sure you show up. A calendar event makes sure you don't double-book. For anything work-related, both are worth having.
The habit that matters is doing it in the moment. When someone in a chat says "Thursday at 2 works", add it to your calendar before you reply "perfect". It takes thirty seconds, and it's the moment you have all the details in front of you.
If your days are full of meetings, time blocking helps you protect the gaps between them for prep and travel.
A routine for a busy week of meetings
- Sunday evening: look at the week. Any meeting without prep, travel or a link sorted gets a reminder now.
- Each morning: check today's meetings and anything you need to bring.
- After each meeting: note what was agreed and set a reminder for any follow-up you promised.
The third step is the one most people skip, and it's where a lot of work gets lost. "I'll send that over by Friday" needs a reminder as much as the meeting did.
Doing it with Mindie
Mindie is a WhatsApp contact for reminders, notes and your calendar. Because it lives in WhatsApp, you can set the meeting up from the same place you agreed it.
Set the reminders in plain words:
- "Remind me Thursday at 1:30pm to leave for the meeting with Emma at the Kings Road office"
- "Remind me Wednesday at 6pm to prep for Thursday's 2pm: bring the lease and deposit receipt"
- "Remind me 15 minutes before the call with Tom on Friday at 11"
Connect Google Calendar to WhatsApp (or Outlook) and add the meeting to your calendar from the same chat:
- "Add meeting with Emma on Thursday 2pm to 3pm at the Kings Road office"
- "What's on tomorrow?"
You can also forward the message where the meeting was agreed, or send a screenshot of an invite, and ask Mindie to add it. It replies with the title, day and time it understood, so a wrong guess is easy to catch.
If you'd like it, a morning briefing lists the day's reminders and calendar events, and calendar nudges can give you a heads-up before events. After the meeting, a quick "remind me Friday at 10 to send Emma the revised quote" keeps the follow-up from slipping.
Mindie never sends invites or messages the other person. If you're running late, it can give you a tap-to-send link with "running five minutes late" typed for you, and you press send.
Reminders worth setting
- Meeting reminder: A message before any meeting, with the place or link and what you need.
- Team meeting reminder: A weekly heads-up before your regular team meeting, with time to prep the agenda.
- Daily standup reminder: A nudge a few minutes before each standup.
- Webinar reminder: A reminder with the joining link before a webinar starts.
FAQ
How do I set a meeting reminder on WhatsApp?
If it's a WhatsApp call, schedule it from the Calls tab and everyone is notified when it's about to begin. For other meetings, create an event in the chat, or use a reminder assistant that messages you at the time you choose, ideally with travel time added.
How long before a meeting should a reminder go off?
About 10 to 15 minutes for a video call, your travel time plus ten minutes for an in-person meeting, and the day before for anything that needs preparation.
Can WhatsApp add meetings to Google Calendar?
WhatsApp doesn't turn a message into a calendar event by itself. A WhatsApp assistant connected to Google Calendar can add an event from a message, so the meeting lands in your calendar without opening the calendar app.
